Reporting to the Program Operational Director (POD), this position supports KHSC and the Regional Cancer Program including the planning, delivery, and improvement of regional reporting requirements. Administrative Support is provided to the POD and other program leaders as needed. This includes initiatives and numerous committees in addition to scheduling meeting requirements.
This role is heavily focused on reporting - development, implementation, co-ordination, distribution, follow- up, and providing updates as well as review and editing of information provided prior to submission to Cancer Care Ontario (CCO). Providing support and advice to achieve strict deadlines.
This role is responsible for supporting regional internal and external stakeholders to ensure their reporting compliance and making recommendations as required. In addition, this position is the main point of contact for all regional inquiries regarding the Oncology Program, and CCO initiatives. This role maintains comprehensive, detailed files regarding all funding agreements; responsible for distribution and analysis of same; providing input, comparison analysis and suggestions to both the POD and Regional Vice President. Focus on maintaining confidentiality and dealing with sensitive issues.
Within this role the employee is accountable for contributing to the delivery of the KHSC strategy. As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do.
PRIMARY RESPONSIBILITES & DUTIES:
- Facilitate complex and extensive reporting and scheduling for CCO. Information management, distribution, monitor, follow up and analysis of same. Support implementation of initiatives and requirements from CCO at a regional level.
- Provide support to senior management, associated Oncology Managers and leads through calendar management, travel and expense reporting, meeting preparation and attendance, file management, trouble shooting, collaboration on projects.
- Organize and collaborate with management, leads and physicians to assist in special projects, events, retreats, Community of Practice and GI ENDO initiatives and targeted events.
Skills & Experience / Compétences & expérience
-Three-year Business or Office Administration diploma from a community college required
-Three to five years of relevant progressive administrative experience in a healthcare environment
-OTN (Videoconference) experience preferred
-Ability to supervise, organize, multi-task and work under pressure, with minimal or no supervision, in a high-pressure environment.
-Good judgement, assessment and problem-solving skills required to handle urgent, important or sensitive matters.
-Excellent organizational skills and ability to document, store and retrieve information required.
-Demonstrated ability with above average written and verbal communication skills, including good grammar, composition, and tact with a customer service orientation.
-Positive demeanor, excellent memory and flexibility would be desired personal traits.
-Demonstrated experience with Microsoft Office particularly (MS Word and Excel tested).
-Minimum of 55 wpm on general typing (to be tested).
-Must show discretion in handling confidential matters.
-Proven ability to attend work on a regular basis
-Satisfactory criminal record check required
