The Supervisor, Special Events, is responsible for the day to day supervision and operation of the City’s Special Events Office.
The Supervisor and their team will lead and coordinate events and programming for both city led events and in support of community groups, partners, and neighbourhood associations that require the use of city facilities, parks, streets, neighbourhoods, and other municipal property.
The position also coordinates with external partners to deliver local, provincial, and national level events and tournaments to the community.
Provide leadership to the City’s Special Events Office, event planning and implementation process as it relates to both internal and external events by ensuring effective organization, communication, efficiency, and management of relationships with key internal and external stakeholders.
Demonstrate a customer service approach to building and leading a team, and use creativity and innovative approaches in the creation, attraction, and retention of events.
Core duties include the coordination and implementation of event and community development initiatives including strategic planning, policy development, financial management, capacity building and social planning coordination.
Responsible for the development, management and monitoring of budgets related to the events portfolio.
Establish and update policies and procedures related to the provision of Special Events.
Responsible for enhancing the provision of City-sanctioned special events in partnership with community stakeholders. Delivery of city led special events such as Victoria Day, Canada Day, New Year’s Eve, etc.
Ensure cross departmental collaboration, interpret individual and department concerns and opportunities, anticipate, and mitigate issues.
Research alternative/emerging best practices, processes, tools and techniques, assess their effectiveness and make recommendations as it relates to events and sport tourism.
Support the progression and ongoing development of sport tourism in cooperation with Tourism Kingston, including participation on related committees, bid processes and event hosting.
Maintain and/or enhance relationships with key stakeholders in events and sports.
Prepare and/or contribute written correspondence for the purpose of reports, grants and applications as necessary.
Responsible for the collection, analysis and reporting of event statistics.
Support community demand for active lifestyle programming including working with community associations on freestyle activities, neighborhood association events, and other special event programming at municipally owned facilities and on municipally owned lands, including sidewalks, pathways, and streets.
Work with the Recreation and Leisure management team and others on policy, financial management, accessibility considerations, emergency planning, projects and statistical collection, analysis and reporting.
Develop annual event communications and work plans in cooperation with other city departments.
Assist in the recruitment, training and development of staff.
Maintain a work environment that promotes staff participation, teamwork, customer service and positive labour relations.
Post-Secondary degree/diploma in Recreation, Sport or Event Management, Public Relations, Tourism, or a related field
Three (3) years recent related experience successfully identifying, developing, coordinating, managing, and implementing major and minor events on an annual basis
Experience should include supervising staff, ideally in a unionized environment
Experience in a public sector setting an asset
Knowledge of sport tourism and experience and an ability to work with PSO’s & NSO’s (Provincial Sport Organization & National Sport Organizations) an asset
Bilingualism (English and French) is preferred, additional languages an asset

Valid class “G” driver’s licence and access to vehicle
Current standard first aid and CPR “C” and AED certification
Required to obtain and maintain a satisfactory criminal record check, including vulnerable sector, at candidates’ expense.
